1. Introduction

1.1. These Terms and Conditions govern the provision of tuition services by Future Minds Tuition Centre (“we”, “us”, “our”) to the client (“you”, “your”), being either the student or the parent/legal guardian of the student where applicable.
1.2. By enrolling a student with Future Minds, you agree to be bound by these terms.
1.3. These Terms and Conditions shall apply to all services provided, whether in-person or online.

2. Enrolment and Registration

2.1. All students must complete a registration form before attending any sessions.
2.2. Enrolment is confirmed only once payment of the registration fee and first instalment is received.
2.3. Parents/guardians must provide accurate contact, medical, and emergency information.
2.4. Future Minds reserves the right to decline or terminate enrolment for any reason, including behavioural concerns or breach of these terms.

3. Tuition Services

3.1. We offer group and one-to-one tuition for students from Key Stage 1 to A-Level across core academic subjects.
3.2. Lessons are scheduled weekly at agreed times and locations.
3.3. The curriculum is designed to supplement and support the UK national curriculum.
3.4. Resources (worksheets, assessments, online portals) may be provided and remain the property of Future Minds.

4. Fees and Payments

4.1. Tuition fees are payable in advance on a monthly, termly, or yearly basis.
4.2. Fees are non-refundable and non-transferable except as outlined in our cancellation policy (Section 5).
4.3. Payment methods accepted: Bank transfer, debit/credit card, standing order.
4.4. Late payment will incur a £10 administrative fee per overdue week.
4.5. Future Minds reserves the right to withhold tuition services if fees remain unpaid.

5. Cancellations, Refunds and Missed Sessions

5.1. We require 14 days’ written notice for cancellation of enrolment.
5.2. Refunds will not be provided for missed sessions due to illness, holidays or other personal commitments.
5.3. If Future Minds cancels a session, a replacement class will be offered or a credit applied to your account.
5.4. One-to-one sessions may be rescheduled with at least 24 hours’ notice, subject to availability.
5.5. Repeated absences without notice may result in removal from the programme.

6. Behaviour and Code of Conduct

6.1. Students are expected to behave respectfully, arrive on time, and actively participate.
6.2. Disruptive, abusive, or inappropriate behaviour will not be tolerated.
6.3. Any damage caused to Future Minds property by a student may result in charges to the parent/guardian.
6.4. Parents/guardians are expected to support the academic and behavioural expectations of the centre.

7. Safeguarding and Child Protection

7.1. Future Minds is committed to safeguarding and promoting the welfare of all students.
7.2. All staff are DBS (Disclosure and Barring Service) checked and receive safeguarding training.
7.3. Any disclosures or concerns will be handled in line with UK child protection guidelines.
7.4. A Designated Safeguarding Lead (DSL) is available to handle all safeguarding matters.

8. Health and Safety

8.1. We take all reasonable steps to ensure a safe learning environment.
8.2. You must inform us of any medical conditions, allergies, or additional needs during registration.
8.3. In case of a medical emergency, we will act in the best interest of the child and attempt to contact you immediately.
8.4. Students must adhere to all health and safety instructions given by staff.

9. Online Tuition

9.1. Online lessons will be delivered via secure platforms (e.g., Zoom, Google Meet).
9.2. A parent or responsible adult should be present in the home for students under 16.
9.3. Students must attend online sessions from a quiet, safe, and suitable environment.
9.4. Sessions may be recorded for safeguarding and quality assurance purposes.
9.5. No audio or video recording by students or parents is permitted without prior consent.

10. Data Protection and Privacy

10.1. Future Minds complies with the UK General Data Protection Regulation (UK GDPR).
10.2. We collect and process data solely for educational, administrative, and safeguarding purposes.
10.3. Personal data will be stored securely and not shared with third parties without consent, unless required by law.
10.4. A full Privacy Policy is available upon request and on our website.

11. Intellectual Property

11.1. All teaching materials, resources, and content produced by Future Minds remain our intellectual property.
11.2. These materials must not be copied, shared, or distributed without written permission.
11.3. Students may use provided materials solely for personal educational use.

12. Academic Progress and Responsibility

12.1. While we strive to support each student’s academic development, Future Minds does not guarantee specific results.
12.2. The student’s academic progress also depends on commitment, attendance, and work completed outside tuition.
12.3. Parents/guardians are encouraged to maintain regular communication with tutors.

13. Complaints Procedure

13.1. We are committed to providing high-quality tuition and welcome feedback.
13.2. Any concerns should be raised initially with the class tutor or centre manager.
13.3. Formal complaints must be submitted in writing to info@futuremindstuition.org.uk, and we aim to respond within 10 working days.

14. Amendments and Updates

14.1. Future Minds reserves the right to amend these Terms and Conditions at any time.
14.2. Changes will be communicated in writing via email or posted on our website.
